Write the actual concern

Use the buyer's stated problem, constraints and unanswered questions. Separate what the buyer said from what the rep inferred.

Confirm the next action

Check who agreed to do what and when. Review the follow-up against the conversation and avoid introducing unapproved promises.

A summary can omit a detail or misunderstand a commitment. Reps review the record and draft before acting on it. Conversation permissions, access and information handling need an agreed process, and the program should identify when a manager or specialist takes over.
